Consent to Our Collection, Use, and Disclosure of Your Biometric Information.

Welcome to TrueMeeting, Inc. (“TrueMeeting”). In order to create operate your avatar and provide our virtual meeting services (“Services”) and to train our models, we collect certain information from you, including without limitation biometric information that we collect from photos and videos we take of you when you use our Services.


Please read this consent carefully. You understand that you are free to decline to provide your biometric information. However, if you decide to proceed with using our Services, you must agree to this consent form. If you do not want to provide such information, please cease your use of the TrueMeeting Services now.


Biometric Information:
The Illinois Biometric Information Privacy Act, 740 ILCS 14/1, et deq. (“BIPA”) and certain other state biometric privacy laws regulate the collection, storage, use, disclosure, and retention of “biometric identifiers” and “biometric information.” “Biometric identifier” means a retina or iris scan, fingerprint, voiceprint, or scan of hand or face geometry. Biometric identifiers do not include, among other things, photographs or physical descriptions such as height, weight, hair color, or eye color. “Biometric information” means any information, regardless of how it is captured, converted, stored, or shared, based on an individual’s biometric identifier used to identify an individual.


When you use our Services, we take photos and videos of you from which we extract biometric information (specifically, facial geometry) to create and animate your avatar and to train our models. We do this in order to provide you with a photorealistic avatar and animate that avatar using your movements, gestures, and expressions, and to improve our models and consequently our avatars.


Other Important Consideration:


Disclosure: We may disclose your biometric information to our hosting and cloud compute provider to host and process information for us and/or make certain services, features or functionality available to our users on our behalf.

Our hosting and cloud compute service provider is contractually restricted with respect to their use and disclosure of information they host and process for us. Your biometric information may also be cached on the device of participants in your virtual meeting in order to facilitate the Services.


Retention: We retain your Biometric Information in accordance with our contractual obligations with our customers, with the specific retention periods determined by our customers. Unless a different retention period is required by our customer by contract, Illinois residents’ Biometric Information will be retained until the earlier of (i) the initial purpose for collecting or obtaining such Biometric Information has been satisfied or (ii) three years following the user’s last interaction with us.  Our hosting and cloud compute provider will only store Biometric Information on our behalf for the retention periods set forth in this section.  Such storage by our hosting and cloud compute provider is necessary for us to provide you with the Services.  Our hosting and cloud compute provider will not access or use your Biometric Information for any other purpose. Once the retention periods in this section have expired, Biometric Information will be permanently and irretrievably deleted by our hosting and cloud compute provider.
